At Cosmos Labs, we are responsible for developing new software and products for the Cosmos Stack and its customers, building and maintaining customer relationships, growing the adoption of our Stack, and fostering the community of independent builders and end users in the Cosmos blockchain ecosystem. We focus on hiring the core team and senior talent to work together in person in NYC and Berlin to build a collaborative and supportive culture. We are open to hiring best-in-class remote talent anywhere within 6 hours of the NYC timezone.

Description - We are looking for a proactive and highly organized Executive Assistant to support our Co-CEO. The goal of this role will be to enable the Co-CEO to focus on the highest leverage tasks.

  • The candidate must have proven expertise helping executives stay focused on their high-priority tasks through effective time management, balancing competing priorities, handling and organizing correspondence, processing documents and other administrative tasks. Independent and a go-getter, the ideal candidate should be able to actively anticipate exec needs and be prepared to action on those as they arise.
  • This role is not for you if you are someone that prefers to come into a role with everything neat and tidy, and with a very predictable daily routine. It also won’t be for you if you don’t like to multi-task and prefer to focus on one thing at a time. The job will be dynamic, and your work is constantly changing.
  • This is a unique, once-in-a-lifetime opportunity to work closely with executives in a fast-paced, innovative industry. You'll have significant influence on the company's success as it scales, shape the in-person office culture, and help define how the executive team operates. Plus, you will work with leaders that are friendly, refreshing and down-to-earth.

Role and Responsibilities -

  • Manage schedule to focus on highest priority work. Hold the right priorities and manage the executives’ schedule in the face of competing demands for time.
  • Prepare and follow up on meetings. Ensuring that the executives have the needed materials before and after meetings and follow through with everyone involved.
  • Manage to-do lists and emails to ensure that commitments and correspondence are followed through.
  • Process information & documents. Critical documents that land in exec inboxes are actioned appropriately, stored in the right places, or forwarded along to the relevant team members.
  • Plan travel and events. Ensuring that executives are in the right places at the right time, and all necessary preparations are accounted for.
  • Provide administrative or personal support. Helping the executive team take care of their personal lives including ordering food, dog-watching, booking important appointments, etc.

Qualifications

  • Required:
    • 3+ years of EA experience in a dynamic and fast-paced environment (bonus if from a start-up)
    • Onsite - NYC Office
  • Knowledge and experience using the following tools:
    • Calendar & Scheduling: Google Calendar, Calendly, Hubspot
    • Email & Communication: Gmail, Slack, Telegram, Superhuman
    • Task Management and Planning: Todoist, Notion , Slack
    • File Storage and Documents: Google Drive, DocuSign, Notion
    • Logistics: Ship documents and packages, print things
    • Travel: Engine (Hotels), Google Flights
    • Expenses & Payments: Ramp
